Job Overview

This full-time regular role, graded up to M5, is responsible for overseeing the bank's administrative operations, including facility management, fleet and travel coordination, inventory control, vendor management, and budgeting.

The position is ideal for experienced administration professionals seeking to contribute to a national-level financial institution's operational efficiency.

The role involves managing day-to-day administrative functions across the Head Office and Regional Offices, ensuring workplace efficiency and hygiene, supervising building maintenance and utilities, and handling tenancy agreements.

The incumbent will also manage the bank's vehicle fleet, official travel logistics, and corporate event arrangements.

Additionally, the position requires maintaining the Fixed Asset Register, supervising central store inventory, and ensuring procurement compliance with the bank's policies and regulatory mandates.

Candidates with a Bachelor's degree in finance, business administration, public administration, supply chain management, or related fields, and at least 3 years of experience (5 years for Manager level) in a bank, financial institution, or development finance institution, are encouraged to apply.

Eligibility and Qualification

The eligibility criteria for this position are designed to ensure candidates have a solid educational foundation and relevant professional experience to handle the diverse administrative responsibilities of the bank.

  • Minimum of a Bachelor's degree in finance, Business Administration, Public Administration, Supply Chain Management, or other business-related fields from a university recognized by the Higher Education Commission of Pakistan (H.E.C.).
  • DAE (Diploma of Associate Engineering) will be an added advantage.
  • Minimum of 3 years of relevant experience for Assistant Manager and 5 years for Manager, preferably with a bank, financial institution (FI), or development finance institution (DFI) in Pakistan.
  • Maximum age limit is 55 years.

Responsibilities

  • Supervise building maintenance, janitorial services, renovations, repair work, and upkeep of office furniture, fixtures, and utilities (electricity, water, backup generators, HVAC).
  • Manage tenancy agreements, lease contracts, and timely renewals for office premises and residential/guest accommodation facilities.
  • Oversee the bank's vehicle fleet, including maintenance schedules, fuel card distribution/reconciliation, vehicle tracking, insurance renewals, and driver administration.
  • Manage end-to-end logistics for official business travel, board meetings, corporate events, and guest hospitality, including flight ticketing, hotel reservations, and transport arrangements.
  • Maintain the Fixed Asset Register (FAR) in coordination with Finance, ensuring proper tagging, tracking, periodic physical verification, and timely asset insurance coverage.
  • Supervise central store inventory, including receiving, inspection (GIRN), stock monitoring, and disbursement of stationery, pantry supplies, and consumables.
  • Identify, evaluate, onboard, and manage third-party vendors, janitorial contractors, security agencies, and maintenance service providers.
  • Ensure administrative procurement activities adhere to the bank's procurement policy, competitive bidding guidelines, and regulatory mandates.
  • Monitor Service Level Agreements (SLAs) and key performance indicators (KPIs) for third-party service providers.
